A receipt is the half of the transaction most shops never write down

Credit shops are careful about the sale and careless about the payment. The sale gets an entry because that is when the risk starts. The payment gets a tick in a margin, a crossed-out figure, or nothing at all — and months later the only record that ₹5,000 came in is that both sides vaguely remember it did. Every argument over an udhar khata is an argument about payments, not sales.

A payment receipt generator fixes that cheaply. It writes down who paid, how much, on what date, by which method, and what is still outstanding afterwards. The last part is what makes it worth printing: a receipt that ends with balance due ₹7,000 leaves the customer holding the same number you have. Nobody has to trust anyone's memory.

Payment receipt or GST receipt voucher

These are two different documents and the tool makes both, because a shop needs both.

A payment receipt is what you give when a customer pays against a bill you already raised. You charged GST on that tax invoice, the government has already been told about it, and the payment is just money moving. Putting GST on this receipt would count the same tax twice. So it carries no tax lines — only the amount, the mode, and the balance.

A receipt voucher is what section 31(3)(d) of the CGST Act requires when you take money before supplying anything. The liability starts the moment the advance lands, not when the goods go out, so the voucher has to show the tax. Switch on advance mode and the generator computes it — including which way the tax splits, from the place of supply.

Why the arithmetic runs backwards on an advance

This is where hand-written vouchers usually go wrong. A customer pays ₹11,800 as an advance on an 18% supply. The instinct is to write ₹11,800 as the value and add ₹2,124 of tax under it — but that invents tax on money nobody handed over. The ₹11,800 is the whole thing, tax included. The taxable value is ₹11,800 ÷ 1.18 = ₹10,000, and the tax is the ₹1,800 left over, which splits into ₹900 CGST and ₹900 SGST inside the state.

The generator derives the tax by subtraction rather than by a second multiplication, which is why the taxable value and the tax always add back up to exactly what you received — no stray paisa, at any rate, at any amount.

Cash, UPI, and the screenshot problem

Most counter payments now arrive by UPI, and most shops treat the customer's screenshot as the record. It is not one. The screenshot belongs to the customer, lives on their phone, and says nothing about what they still owe you. Take the transaction ID off it, put it in the reference field here, and print a receipt: now there is a document with your shop's name on it that ties that transaction to that balance.

For cash the case is simpler and stronger. Cash leaves no trail at all unless somebody writes one.

Frequently asked questions

What is the difference between a receipt and an invoice?

An invoice asks for money — it lists what was supplied and what is owed. A receipt acknowledges money that has already arrived. You raise an invoice once when the goods go out, and a receipt every time the customer pays something against it, which for a shop running credit can be many times over several weeks.

Does a payment receipt need GST on it?

Usually no. If you already charged GST on the tax invoice, the tax has been accounted for and the payment receipt simply records money coming in against that balance. Adding tax again on the receipt would double-count it. The one real exception is money taken before the supply — see the advance receipt question below.

What is a receipt voucher for an advance?

Section 31(3)(d) of the CGST Act says that when you take money before you supply the goods or service, you must issue a receipt voucher, and GST is payable on that advance straight away. This generator has an advance mode for exactly that: switch it on and the tax is worked out of the amount you received, because the customer handed you one figure that already includes the tax.

Why is the tax extracted from the advance rather than added to it?

Because of what physically happened. The customer gave you ₹11,800 — that is the money in your hand, and the tax is inside it. Treating the ₹11,800 as a pre-tax figure and adding 18% on top would invent ₹2,124 of tax on money you never received. So the taxable value is the amount divided by 1.18, and the tax is the remainder.

Can I show the outstanding balance on the receipt?

Yes, and it is the most useful part. Enter what the customer owed before this payment and the receipt prints the previous balance, the amount paid and the balance still due. That single line prevents most arguments about a khata, because both sides walk away holding the same number.

What happens if the customer pays more than they owe?

The receipt shows it as an advance in their favour rather than a negative balance, so nobody has to read a minus sign correctly. That is normal in a shop — a customer clearing a round ₹5,000 against a ₹4,760 balance leaves ₹240 on account.

Do I have to number my receipts?

For a plain payment receipt there is no statutory series, but a running number is what makes your own book searchable later. For a GST receipt voucher there is: it needs a consecutive serial number unique within the financial year, the same rule that applies to invoices. The generator increments the trailing number after each receipt.

Is a UPI screenshot enough proof of payment?

It is evidence the money moved, but it is the customer’s document, not yours. A receipt with your shop name, the reference number from that screenshot and the resulting balance is the record that belongs in your books. Put the UPI transaction ID in the reference field and the two documents point at each other.

How do I save the receipt as a PDF?

Press Download PDF. That opens your browser’s print dialog — choose "Save as PDF" as the destination. Only the receipt prints; the form, menu and buttons are hidden.

Does anything get uploaded?

No. There is no server call in this tool. Your shop details are kept in your own browser so you do not retype them, and the Reset button clears them. Customer names and amounts are never stored.

Can I use this if I am not GST-registered?

Yes, and this is the more common case for a small shop. Leave the advance toggle off and the receipt carries no tax at all — just who paid, how much, how, and what is left. The GSTIN field is optional throughout.

Does it work on a phone?

Yes. The form and the receipt stack into one column on a small screen, and the inputs are sized so the browser does not zoom when you tap them. Most shopkeepers fill this at the counter, not at a desk.

Can I print two copies at once?

Print twice, or set your printer to two copies. The convention in a credit shop is one copy for the customer and one that stays in the book — if you are giving a physical receipt at all, the second copy is the half that protects you.
